Understanding the Total Cost of Ownership

A lower equipment price can make DTF more accessible, but purchase price is only the beginning. Compare the complete cost of putting the system into productive service and keeping it there.

Include These Costs

  • Printer and shaker/curing system, plus a heat press if a suitable press is not already available.
  • Included RIP license, suitable production computer, and any future software changes or upgrades.
  • Initial ink, film, powder, cleaners, and maintenance supplies.
  • Ventilation or extraction equipment.
  • Electrical work and workspace preparation.
  • Climate control or humidity control if required.
  • Freight, installation, and operator training.
  • Routine maintenance parts and consumables.
  • Replacement printheads and other major service parts.
  • Labor for printing, finishing, maintenance, and quality control.
  • Financing or interest expense.
  • Expected waste during setup and normal production.
  • Downtime exposure and the availability of backup production.

Build the Financial Model Around Real Demand

Estimate monthly production from actual order history or documented outsourced-transfer purchases. Compare the current landed cost of outsourcing with the expected in-house variable cost, labor, financing, maintenance allowance, and overhead associated with ownership.

A payback calculation should not assume that every available production hour will be sold. Use realistic utilization and allow for maintenance, slower jobs, setup, operator time, and seasonal changes.

Profit Insight: The right question is not simply, “How much does the printer cost?” It is, “What will this system cost to own and operate, and what profitable work will it allow us to produce?”
