Evaluating the Dealer and the Proposal

The company behind the machine matters when the machine needs people. A strong proposal should make it clear what happens before installation, during training, and after the system is in production.

Dealer Questions

  • Do you stock common parts and consumables in the United States?
  • What training is included, and who provides it?
  • How do I obtain technical support if the printer is down?
  • Is remote support included? Is on-site service available?
  • Who performs installation and startup?
  • What is included in the warranty, and what is excluded?
  • Are travel, freight, installation, or service charges separate?
  • What supplies are recommended and why?
  • What maintenance documentation is provided?
  • What happens if a problem cannot be resolved remotely?

Proposal Comparison

Put competing proposals into the same format before comparing them. A lower quoted price may exclude a heat press, RIP license, installation, extraction, freight, starter supplies, training, or warranty coverage that another proposal includes.

Compare Confirm in Writing
Equipment Exact printer, shaker, dryer, extractor, heat press, computer, accessories.
Software RIP product, version, licenses, subscriptions, updates.
Installation What is included, who performs it, travel or facility prerequisites.
Training Hours, location, number of operators, follow-up training.
Warranty Term, covered components, exclusions, labor, travel, consumables.
Support Hours, contact method, remote access, escalation, on-site availability.
Parts Domestic inventory, typical availability, common replacement costs.
Supplies Approved ink, film, powder, cleaners, filters, starter quantities.
Freight Delivery terms, liftgate/rigging, damage process, installation timing.

Dealer Rule: You are not just buying a printer. You are buying the support structure that helps keep the printer productive.
